The type of personal information we collect

We currently collect and process the following information:

• Personal identifiers, contacts and characteristics (for example, name and contact details)
• Non-personal information which may include your aggregated usage information and technical information transmitted by your device, including certain software and hardware information (e.g. the type of browser and operating system your device uses, language preference, access time, etc.) in order to enhance the functionality of our site. We may also collect information on your activity on the site (e.g. pages viewed, online browsing, clicks, actions, etc.).

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you, usually when you complete an enquiry form on our website or contact us by email. We use it for the following reasons:

• Responding to your enquiry. Answering your question, discussing a potential project and providing any information you have asked for. Our lawful basis is that we are taking steps at your request prior to entering into a contract.
• Providing our services. Delivering work to our clients and managing our relationship with them. Our lawful basis is performance of a contract.
• Marketing. Sending you occasional updates about our work and services, where you have asked us to. Our lawful basis is your consent, which you can withdraw at any time.
• Advertising and retargeting. Showing you our advertising on other platforms and measuring how well our campaigns perform. Our lawful basis is your consent, given through our cookie banner.
• Improving our website. Understanding how people use the site so we can make it better and diagnose technical problems. Our lawful basis is your consent, given through our cookie banner.
• Operating our website. Hosting the site and keeping it secure and working. Our lawful basis is our legitimate interest in running our business.

We share this information with trusted third party service providers who help us operate our website, communicate with you and analyse how our site is used. Some of these providers are based outside the UK. Where personal information is transferred outside the UK, we rely on either UK adequacy regulations or standard contractual clauses approved for use in the UK to ensure it remains protected.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(b) We are taking steps at your request prior to entering into a contract, or performing a contract with you.

How long we keep your information

We keep enquiry details for two years from our last contact with you, so we can respond to follow-up questions and understand where our enquiries come from. If you have consented to marketing, we keep your details until you withdraw that consent or ask us to remove them. We keep website analytics data for the retention period set in our analytics tools, which is currently 14 months.

Your data protection rights

Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to object to direct marketing - You have the absolute right to ask us to stop using your personal information for direct marketing at any time. We will always act on this.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You may be required to pay a charge to cover administration costs. If you make a request, we aim to answer your request within one month, but in certain circumstances this can take up to two months.
